WordCamp Dhaka Volunteer Roles & Responsibilities

At WordCamp Dhaka 2025, volunteers will work in many areas. Here you will get all the details of volunteer roles. Each role has its own importance:

1. Program Operations Roles

Volunteers in Program Operations keep the heart of WordCamp running. They coordinate sessions, support speakers, manage halls, and ensure every talk starts and ends smoothly.

Hall Facilitator

  • Ensure smooth operations inside each hall and create a positive attendee experience.
  • Hand microphones to audience members during Q&As.
  • Keep speaker areas neat and secure; restrict unwanted access.
  • Help attendees find seats and guide them as needed.
  • Coordinate with Speaker Helpers and Timekeepers to keep sessions on schedule.
  • Assist with crowd management or emergencies if they arise.

Speaker Helper (Guest Relations)

  • Serve as the primary point of contact for all speaker inquiries.
  • Offer quick support via WhatsApp or other channels.
  • Help review and submit slides before the event.
  • Meet and greet speakers on event day and check their schedules.
  • Keep speakers ready in line before sessions and serve as the Timekeeper when needed.

2. Media & Communications Roles

This team captures the event’s energy and shares it with the world. They handle live updates, social media engagement, and real-time storytelling of WordCamp Dhaka.

Social Media Helper

  • Write creative and engaging posts for social media platforms.
  • Capture quick photos and moments using a smartphone.
  • Share real-time updates and highlights during the event.
  • Engage with comments, mentions, and tags to boost interaction.

3. Design Role

Designers make the event look cohesive and professional. They create quick graphics, adjust signage, and maintain a consistent visual identity throughout the conference.

Designer

  • Support the event’s creative needs during WordCamp Dhaka 2025.
  • Create or adjust graphics for slides, signage, or social media on the spot.
  • Ensure branding is consistent across digital and print materials.
  • Work with the Media & Communications team to deliver last-minute visuals.
  • Keep the event looking polished, professional, and visually engaging throughout the day.

AV Crew Roles

Photographers, videographers, and editors document every moment. They ensure high-quality images and videos are captured and turned into lasting memories and future promotional content.

Photographer

  • Capture high-quality images of sessions, candid moments, and community activities.
  • Document the event’s energy and preserve memories for future use.

Videographer

  • Record sessions, interviews, and behind-the-scenes footage.
  • Use tripods/gimbals for stable footage and cover multiple locations as needed.

Video Editor

  • Transform raw footage into polished highlights, reels, and session recordings.
  • Working closely with videographers and media leads to maintaining event quality.

4. Attendee & Event Support Roles

These volunteers create a welcoming experience for everyone. They guide attendees, manage entry points, assist sponsors, and make sure every participant feels supported and included.

Event Experience Team

  • Manage all entry points for attendees, speakers, sponsors, and guests.
  • Ensure smooth registration, check-ins, and after-party entry.
  • Support accessibility needs and guide attendees as required.
  • Oversee Lunch Assistants, Swag Distributors, and Information Desk Attendants.
  • Assist with Contributor Day registration and coordination.

Sponsor Hall Management

  • Take care of the entire sponsor area and assist with booth needs.
  • Act as the main contact for sponsors with organizers.
  • Stand by sponsors to assist whenever needed and keep the area vibrant.

  • Ability to work in a team and stay calm under pressure.

  • Dress Code: Wear your volunteer T-shirt while on duty. Carry a spare shirt to change into when you’re off shift.

Code of Conduct

WordCamp Dhaka follows the WordPress Community Code of Conduct, which means:

  • Respect everyone. Harassment, discrimination, or inappropriate behavior is not tolerated.
  • Be inclusive. Assist attendees with disabilities, respect dietary and cultural needs, and be patient with non-native speakers.
  • Stay professional. While wearing the volunteer T-shirt, you represent WordCamp so keep a positive attitude.
  • No unofficial promotion. Only official sponsors may distribute materials or swag.
  • Report issues immediately. If you witness a violation, stay with the person reporting and alert an organizer.

Volunteers are not expected to solve conflicts themselves, just support, listen, and connect the person with organizers.
